To reserve your place on a tour we require a deposit of $600 per. The tour price is guaranteed fixed at the price shown on the website at the time of making your reservation. Echelon reserves the right not to accept a reservation if for reasons which in its sole opinion could have a detrimental effect on the welfare or enjoyment of other guests.
The tour price must be paid in full 90 days prior to the scheduled departure date. If not already paid by this time, the outstanding balance will automatically be charged to the credit card we have on file for you unless you have made alternative arrangements with us. Any reservations made within 90 days of the scheduled tour departure date must be paid in full at the time of booking.
Payments must be in U.S. dollars, and can be made by Wire Transfer, Visa, Master Card, American Express.
On receipt of your deposit and again on final payment you will be sent an invoice confirming your reservation and amount paid.
To finalize your tour reservation, we need you to complete, sign and return a Personal Information Form. As soon as we receive your deposit we will send you the form and ask that you complete it accurately and return it to us within 14 days. This form lets us know about you, your cycling preferences, any dietary restrictions and any other special requirements you may have. Failure to complete and return the Personal Information Form, after we send you a reminder, will result in you being deemed to have cancelled the tour.
Tour Release Waiver
Before you embark on the tour we need you to sign and return a Tour Release Waiver, the link for which you'll receive in your confirmation of booking email. You will not be permitted to join your tour if you fail to provide a signed Tour Release Waiver prior to the scheduled tour departure date and the cancellation policy will apply as if you have cancelled the tour.
Prices of each tour are displayed on our website. They are fixed prices inclusive of all taxes and will not be adjusted due to currency fluctuations. The prices are per person in US dollars and are based on two persons occupying a double room. We regret that we are unable to offer any price adjustment for clients who join a tour after the scheduled departure date or leave a tour before the scheduled end date.
When a solo traveller occupies a double room a single supplement will be charged. The amount of the single supplement is displayed on the website for each tour.
We strongly recommend that travellers purchase comprehensive travel insurance to cover the duration of their selected tour plus any associated travel to and from the tour to protect you in the unfortunate event that you have to cancel, curtail or leave your trip.
If you cancel a tour after making a reservation with us you will be required to pay the following charges:
- More than 90 days before your scheduled tour departure date – cancellation fee $300
- At 90 days and up to 60 days before your scheduled tour departure date – a cancellation fee $600
- At 60 days and up to 30 days before your scheduled tour departure date – a cancellation fee 50% of the price of your tour
- At 30 days or less before your scheduled tour departure date – a cancellation fee 100% of the price of your tour
Occasionally, circumstances beyond our control cause us to make modifications to the tour. In such cases we reserve the right to make date, route and hotel changes as needed, including cancellation of the tour in its entirety if we consider at our sole discretion that the quality of the trip or the safety of riders is compromised.
Every effort is made to keep changes to a minimum and maintain our high standards. We are not responsible for any personal expenses incurred due to changes in itineraries or tour cancellations, such as prepaid hotel accommodations or airline tickets. We recommend confirming your trip with us before making any non-refundable travel arrangements.
We are not a travel agent and consequently we cannot offer travel agent services. We do however want your trip run as smoothly as possible and will endeavour to help wherever we can by offering recommendations regarding best means of transport, places to stay and see both before and after your tour with us.
Before joining one of our tours, we strongly recommend you review your personal and health insurance to confirm that you have sufficient coverage to meet your needs, and those of your dependants, in case of any loss of property or illness, injury or death.
We require that all riders are at least 18 years of age at scheduled tour departure date.
By making your reservation, paying your deposit and returning your Personal Information Form, you are certifying that you do not have any physical condition or disability that could create a hazard for you or other riders on the tour.
